A wedding photographer workflow from inquiry to gallery delivery

A workflow is just the list of things that happen for every couple, in the same order, so nothing depends on remembering. Write it once, then reuse it. Here is a practical version with the documents each step needs.

1. Inquiry

  • Reply within one working day, with availability and starting price or a link to them.
  • Ask two or three questions: date, venue, guest count, what they care about.
  • Offer a short call.

2. Booking

  • Contract and retainer invoice sent together.
  • Booking confirmation email: what happens next and when they will hear from you.
  • Add the date to your calendar and block travel days.

3. Between booking and the wedding

  • Welcome email or packet: how you work, what to expect, how to reach you.
  • Optional engagement session.
  • Payment reminders according to the contract.

4. Planning (four to six weeks before)

5. Wedding week

  • Confirm times, addresses, and contacts with the couple and planner.
  • Charge batteries, format cards, pack backups.

6. Wedding day

Follow the timeline, keep the family list with a helper, back up cards the same night.

7. After the wedding

  • Thank you email within two days, with the delivery date.
  • Sneak peek, if you offer one.
  • Cull, edit, deliver the gallery by the date you promised.
  • Ask for a review and permission to share, after delivery.

Make it repeatable

Keep the emails as templates and the steps as a checklist, whether in a CRM, a spreadsheet, or on paper. The tool matters less than doing the same steps every time. When something goes wrong, add one line to the checklist so it does not happen again.

The documents for steps 3 to 6. The studio kit has the client questionnaire, shot list, and client emails ($39). The day-of timeline ($24) and second shooter brief ($12) are also sold separately.
